VISA FOR MEXICO

— Please note that your passport must not expire within 6 months after the date of travel
 

— Check, by clicking here, to verify if your country requires a visa to visit Mexico
 

— As of this date of this document (February 19, 2024), Mexico has no entry requirements related to COVID-19. However, as you get closer to your travel date, we suggest that you verify the legal and/or health requirements authorized to enter the country here.

TRAVEL INSURANCE

— Health insurance for the trip is required for this event that must include COVID-19 coverage. This is an essential requirement to attend the event
 

— Guests agree that World of America does not assume any expenses generated by illness or accident
 

— The travel health insurance coverage information must be attached to the registration form to complete registration

ARRIVAL

— There is an hour and 15 minutes between the Airport and the Hotel Xcaret Arte

— The buses have Wi-Fi and bathroom

 

— Upon arrival at Cancun International Airport, please go to the Xcaret hotels transportation office and take the bus to the Arte hotel

— Access to the hotel transportation office is not available from the street. Xcaret transportation buses outside the airport are not available to guests who are traveling within Cancun and want to take the Xcaret buses will not be able to do so. They must take transportation to the hotel on their own
 

— Buses run every half hour between 6:00 am and 9:00 pm. After 9:00 pm, they run every hour

— The event only offers transportation to the hotel from Cancun International Airport and within the event days only

— For security reasons, the hotel requires confirmation of your attendance with the information of your arrival and departure flight so that they can authorize your seat on the hotel transportation and hotel booking ( See confirmation form )

TICKET REFUND

— The invitation includes the refund of round-trip airfare from the guest's country of residence to the Cancun International Airport


— Refund is based on economy class and will be recognized up to the maximum limited amount previously informed via email to each guest

— The amount was based on standard rates per country quoted at the date of the invitation to the event
 

— There is no exception to change the refund rate

— Refund will made only after the guest has attended the event and participated in all scheduled activities
 

— It is the sole responsibility of the guest to ensure that their travel documents are in order
 

— Tickets purchased with miles, credits, or ticket exchange will not be refunded

FOOD AND DRINKS INCLUDED

—Open bar with non-premium liquors and included beverages

— 24-hour food room service. The hotel suggests placing your food order no less than one hour in advance.

— Minibar included

— Access and consumption to the nightclub "Speakeasy El Deseo"

IMPORTANT: Please verify that any liquor you order at the restaurants or other common areas is included in the event package

— Liquor orders to the room are not included in the Room Service, except for those found in the minibar

 

— Included and not included expenses at the hotel must be signed for when requested

 

— Avoid disclosing your room number in public

restaurants without reservation are:

 

— Mercado & Cayuco (Breakfast, lunch, and dinner)
 

— Arenal (Lunch & dinner only)

— Cantina Viaipy (Lunch & dinner only)

— Apachoa (Breakfast & dinner)
 

The restaurants with reservation are:
 

— Encanta & Chino Poblano (7-course pairing dinner) approximately 2 hours duration

— Access and consumption to the nightclub "Speakeasy El Deseo"

NOT COVERED CHARGES

The following expenses are NOT covered by the event, in case they are required, they must be paid by the guest:
 

— Expenses generated in the hotel or transportation outside of what is offered by the event on the established dates and times
 

— Liquor orders to the room

— SPA

— The Xaak restaurant is not included in the event offer. Its cost per person is US $175.oo + the cost of drinks

— Kibi-Kibi restaurant at Casa de Artistas. Its cost per person is US$130.oo + the cost of drinks

— Purchases at the gift shops

— Local or international calls 

— Laundry service and shoe cleaning

— COVID-19 tests or medical tests required by authorities

— Tests, vaccines, or medical requirements required by the country before or during the event

ATTIRE

— We recommend wearing comfortable clothing for warm-humid weather
 

— Bring comfortable clothes to the parks and a bag with spare clothes. Water shoes are recommended

— Consider smart casual attire for the awards dinner. No beachwear or flip-flops


— The following is the dress code for hotel restaurants: Swimwear or sleeveless sport shirts are not permitted

 

— Leave space in your suitcase so you don't have to pay extra on the return trip. Remember that during the event, souvenirs are offered by the event and sponsors

— Check-out must be done on May 31st, 2024 before 11:00 am

— We recommend checking out early the night before, if possible, to avoid congestion

— Although there is a reception in each building, the only 24-hour reception is located in Casa Diseño, next to the Cantina Viaipy Restaurant

— Guests who stay in the hotel after 12:00 pm will be responsible for all consumption or charges on their own

 

— It’s important that you contact the transportation desk as soon as you receive your room to reserve your spot on the bus back to the airport the day you are departing

Note: The hotel advises leaving for the airport 5 hours in advance. This includes bus transport to the airport, 1 hour and 20 minutes from the hotel to, + 3 hours requested by airport authorities for international flights and 40 minutes to prevent road closures due to accidents or repairs

PARTICIPATION GUIDELINES

By attending the event, the guest agrees to the participation guidelines, including the following:
 

— This is invitation only event for those who achieved the required qualification, therefore, we reserve the right to modify the conditions and/or cancel the invitation without prior notice and without any right to compensation for the guests

— All expenses incurred after the end of the event will be the sole responsibility of the guest (and their companion, if applicable)

— The above rule applies even if the guest (and their companion, if applicable) cannot return to their country of origin due to reasons such as: Airport closures, health problems, strikes in public transportation, weather changes, etc.

 

— Guests and their companions must be over 18 years of age
 

— — Only invited guests will be allowed to attend the convention, no additional guest will be permitted to attend. Only one companion is allowed per invited guest if qualified double


Important: If you book a restaurant and fail to show up, or if you miss the Xochimilco activity, the hotel will charge a penalty of US$25.00 to your personal account. WOA is not responsible for these charges.

— Reservations can be canceled by calling the hotel's Concierge internal extension. Save the confirmation number of your cancellation as evidence of the cancelation. The event will not be responsible to reimburse any imposed penalties for failure to cancel


Medical travel insurance is mandatory to attend the convention. There are no exceptions
